How
to chair a Conference Call
Once you have obtained your pair of passcodes follow these
instructions:
- Set the time and date of the meeting. Tell attendees the
PARTICIPANT passcode and Conference Access Number in advance.
- At the appointed time, dial the access number.
- Enter the CHAIRPERSON PASSCODE followed by '#'.
If no participants have arrived, recorded music will play.
- To end the conference call, please hang-up.
If you need help or assistance, press ' *
' and '0' to exit the conference call and
you will be transferred to our customer care assistant. |
How
to participate in a Conference Call
Before you can attend a conference call, you will need from
the person who called the meeting (the chairperson), a Conference
Access Number and a PARTICIPANT passcode.
- Call the Conference Access Number; you will be asked to
enter your passcode using your keypad.
- Enter the passcode followed by #.
- You will immediately join the conference call. When the
chairperson arrives, introduce yourself and start the meeting.
If you need help or assistance, press ' *
' and '0' to exit the conference call and
you will be transferred to our customer care assistant. |
Tips
for better Conference Calls
Before your meeting
- Distribute important documents to participants well in
advance.
- Propose a meeting agenda.
- Read the list of conference call features in case there
are any you wish to use.
During your meeting
- Introduce and welcome participants when they arrive at
the meeting.
- Start your meeting promptly and record actions.
- Leave some time at the end of the meeting for any other
business (AOB).
After your meeting
- Circulate decisions and action items to the appropriate
people.
- Schedule next-step calls to follow-up on feedback.
- Provide a source for participants to request additional
information.
To ensure your meeting runs smoothly
- Speak clearly and avoid side conversations and background
noise. Avoid using a speakerphone.
- If your meeting has many participants but few speakers,
increase the sound quality of the call by asking listeners
to mute their phones by pressing ' * '
and ' 6 '.
- Participants should identify themselves by name and location
when speaking.
- Address individuals by name when speaking.
- If you get disconnected, simply re-dial the Conference
Access Number and enter the passcode.
